Chief of Staff

to Private Family Office

Job ID: 3829381

About The Job

An influential, fast-paced family office with a significant investment arm is seeking a highly capable Chief of Staff. This is a critical leadership role focused on driving operational excellence, ensuring strategic priorities are executed, and acting as a force multiplier for the principals and the executive leadership team.

This opportunity offers a dynamic blend of strategy, operations, project management, and team leadership, ideal for an ambitious professional who thrives in complex, fast-moving environments. You will work closely with some of the top minds in private investment, philanthropy, and family governance, playing an integral role in the continued growth and diversification of the office’s portfolio and operations.

The Employer

The family office is anchored by a principal with an entrepreneurial background and extensive investment holdings across private equity, venture capital, real estate, and public markets. The office manages a diverse array of interests, including active operating businesses, passive investments, philanthropic initiatives, and private holdings.

This role reports directly to the CEO of the family office, while working in close partnership with the Chief Investment Officer, General Counsel, and Principal. The broader team includes professionals across investment management, legal, accounting, operations, and private philanthropy. You will oversee a team of analysts and project managers while also managing cross-functional initiatives across departments.

Responsibilities

  • Act as the CEO’s key operational and strategic partner, helping prioritize initiatives, manage special projects, and ensure alignment across departments
  • Coordinate complex workflows across investment, legal, accounting, and philanthropic entities
  • Design and implement internal processes, governance frameworks, reporting structures, and best practices
  • Manage quarterly and annual strategic planning, budgeting, and organizational reviews
  • Support investment-related operations including due diligence coordination, investment committee materials, and deal pipeline tracking
  • Liaise directly with external partners including investment managers, attorneys, consultants, and family advisors
  • Lead internal communication, ensuring that the executive team and key stakeholders are consistently aligned
  • Identify areas for improvement and proactively develop solutions to increase efficiency and effectiveness
  • Manage sensitive projects including succession planning, philanthropic strategy, and new venture creation
  • Directly supervise administrative staff and project managers, ensuring a high standard of work across all initiatives

Must Haves

  • 5 to 7+ years of professional experience in a relevant field such as management consulting, investment banking, business operations, strategy, or private family office management
  • Bachelor’s degree required; MBA or advanced degree a plus
  • Proven ability to work at a senior level with executives, boards, and principals
  • Exceptional organizational skills with the ability to manage multiple, complex projects simultaneously
  • High emotional intelligence and discretion, with a strong understanding of confidentiality and diplomacy
  • Demonstrated ability to lead teams and influence stakeholders without direct authority
  • Comfort working in both highly strategic and highly tactical capacities

About You

You are a natural leader and collaborator who thrives on solving complex problems. You are comfortable working in an environment where no two days are the same, where priorities shift quickly, and where your ability to bring order, clarity, and momentum is key to success.

You understand how to balance high-level strategic thinking with hands-on execution. You are proactive, composed under pressure, and excellent at managing both people and projects. You pride yourself on anticipating needs before they arise and bringing a polished, professional demeanor to every interaction.

Experience working in or around investments is strongly preferred, and a passion for private markets, entrepreneurship, or philanthropy will serve you well. Above all, you are motivated by the opportunity to make a lasting impact within a sophisticated, growing organization.

Compensation & Benefits

  • Base salary range: $175,000–$250,000, commensurate with experience
  • Annual performance-based bonus
  • Equity compensation participation
  • Comprehensive health, dental, and vision insurance 401(k) with employer contribution
  • Generous PTO and paid holidays
  • Professional development stipend
  • Occasional domestic and international travel
  • A rare opportunity to work at the highest levels of a well-resourced, growth-oriented family office

Woman Looking Around As The World Moves Quickly Around Her

The world is spinning faster every day.

Employment has changed drastically the past few years—how we work, the type of work we do, and even where we work. Yet, while the world adapts, solutions for hiring private staff seem to be stuck in the past.

At Old State Staffing, we believe the status quo is not enough, and that those who decide now is the time to settle will be left behind. In the face of great change, tinkering around the edges simply won’t do. Since Day 1, our approach has been built on four key principles:

1. Developing A Quality Product

We’ve built Old State Staffing from the ground up, implementing the same cutting-edge recruiting tools used by the nation’s largest family offices. Historically inaccessible to smaller clients, these tools improve the tracking and management of talent, utilize machine learning for smarter searches, and intuitively compare compensation and qualification benchmarks both regionally and nationally. This allows us to find and match families with the best candidates quicker and more efficiently than ever before.

2. Building A Great Team

We knew from the start that our team would be our greatest differentiator. That’s because our agency is composed entirely of family office professionals who know what exceptional candidates look like; because we’ve applied to, managed, and hired for each of those positions ourselves.

3. Creating Meaningful Relationships

Building and maintaining relationships is important today, more than ever before. We place immense value on our relationships, not just with our clients, but our candidates, and the community at large. We spent our “pandemic years” building partnerships with local universities, to open the doors of private staffing to recent college graduates in the most educated metropolitan area in the world.

4. Refusing To Settle

Change is inevitable, yet private staffing has historically lagged in both hiring and employment standards. We’ve always been disruptors, first to adopt AI and machine learning—ensuring smarter, faster, more accurate matches for our clients.

We know that choosing an agency is a personal decision, and we’re honored for the time you have spent considering us as a partner in your search. If you haven’t spoken to us yet, let me be the first to say that we can’t wait to introduce you to our contacts, to guide you through the hiring process, and to introduce you to the perfect candidate. We know the stakes are high, but so are the rewards. With Old State Staffing you’ll be empowered to make informed, meaningful hiring decisions, so you can continue to thrive in a world that’s spinning faster every day.
