Executive Personal Assistant

to Office of the Chairman

Job ID: 3998217

About The Job

We are seeking an Executive Personal Assistant (EPA) to serve as a trusted executor and core member of the Office of the Chairman. This role sits at the intersection of personal and business support, requiring someone who operates with discretion, urgency, sound judgement, and strong follow-through in a fast-moving environment. You will help ensure the Chairman’s time, attention, and priorities are managed with precision throughout his personal and business life.

You will work closely with the Chairman’s Chief of Staff and Director of Executive Operations, providing hands-on administrative, logistical and personal support while maintaining continuity across a small, high-trust team. While the role offers meaningful long-term growth potential, the immediate priority is execution: keeping details tight, solving problems quickly, staying ahead of changing priorities, and handling the day-to-day work that allows the Chairman to operate at a high level.

The role will be based primarily out of the company’s office in Falls Church, as well as the Chairman’s nearby residence, and there may be occasional domestic or international travel. This is not a traditional 9 to 5. Priorities may shift quickly, important matters do not always happen during business hours, and success in this role requires flexibility, responsiveness, and a commitment to high standards. For the right person, this is an opportunity to become deeply embedded in the world of an accomplished principal, make an immediate impact, and to grow, over time, into a broader trusted partner.

The Employer

The Chairman is a seasoned business leader engaged in a range of ventures, with an active and fast-moving schedule, spanning business obligations, travel, family commitments, and high-level relationships across multiple industries and geographies. This role is part of a dedicated support structure designed to keep all areas of the Chairman’s world running smoothly. You will work closely with internal leadership and coordinate regularly with staff and external stakeholders to ensure alignment, continuity, and consistent execution. The role is best suited for someone who finds satisfaction in being highly effective, highly trusted, and consistently relied upon.

Responsibilities

Personal Support

  • Serve as the Chairman’s primary point of support across personal matters, helping ensure his day-to-day life runs smoothly and efficiently
  • Coordinate personal appointments, family schedules, reservations, and important personal commitments
  • Assist with family events, celebrations, holidays, gifting, and special occasions
  • Handle errands, purchases, research projects, and one-off requests
  • Coordinate with household staff, vendors, and service providers to ensure strong execution
  • Identify quality-of-life issues proactively and help solve them before they become distractions

Executive Support

  • Serve as the Chairman’s primary day-to-day point of support across his professional life, ensuring priorities stay on track and nothing falls through
  • Manage a dynamic, ever-changing calendar across multiple commitments, locations, and time zones
  • Coordinate meetings, calls, appointments, and scheduling logistics
  • Prepare the Chairman for meetings, engagements, and commitments through agendas, briefing materials, reminders, and background research
  • Monitor correspondence and draft emails, letters, and other communications in the Chairman’s voice
  • Track follow-ups, deadlines, and action items so important matters are consistently advanced
  • Manage domestic and international travel end-to-end, including itineraries, accommodations, transportation, and contingency planning, across both professional and personal commitments
  • Provide 360 coverage, anticipating needs throughout the day and responding quickly as priorities shift
  • Maintain absolute discretion across business matters, relationships, and sensitive information

Team & Operational Support

  • Work closely with the Chief of Staff and Director of Executive Operations to maintain alignment on priorities, schedules, and upcoming needs
  • Step in where helpful on administrative, logistical, or project-based needs across the broader Office of the Chairman
  • Help improve systems, organization, communication flow, and internal processes as opportunities arise
  • Take on increased responsibility and broader ownership over time as the role evolves

Must Haves

  • Prior experience supporting a senior executive, entrepreneur, family office principal, or public figure in an executive assistant, personal assistant, chief of staff, or similar high-level support role. Backgrounds in luxury hospitality, private household, or client-facing service roles are equally considered
  • Strong customer service and hospitality instincts, with a natural understanding of responsiveness, professionalism, presentation, and how to create a seamless experience for others
  • Exceptional organizational skills and the ability to manage multiple moving pieces at a time
  • Strong written and verbal communication skills
  • Proven ability to remain calm, polished, and effective in a high-demand environment
  • Strong judgment, discretion, and professionalism with sensitive information
  • Tech proficiency with Google Workspace, Microsoft Office, calendars, spreadsheets, and digital communication tools
  • Valid driver’s license and reliable transportation
  • Flexibility for occasional travel

About You

  • Highly reliable, naturally accountable, and takes ownership without being asked
  • Calm under pressure and solutions-oriented when plans change
  • Organized, sharp, and consistently two steps ahead
  • Comfortable operating behind the scenes while making a visible impact through your work
  • Equally polished in both business and personal settings
  • Self-directed, but collaborative and easy to work with
  • Motivated by high standards and the opportunity to earn deep trust over time

Compensation & Benefits

The compensation range for this role is $90,000 to $120,000, with final offers based on experience, qualifications, and overall fit. Benefits include 401(k) participation; medical, dental, and vision insurance; short-term and long-term disability insurance; paid-time off and holidays; company-provided device(s); and business expense reimbursement.

Woman Looking Around As The World Moves Quickly Around Her

The world is spinning faster every day.

Employment has changed drastically the past few years—how we work, the type of work we do, and even where we work. Yet, while the world adapts, solutions for hiring private staff seem to be stuck in the past.

At Old State Staffing, we believe the status quo is not enough, and that those who decide now is the time to settle will be left behind. In the face of great change, tinkering around the edges simply won’t do. Since Day 1, our approach has been built on four key principles:

1. Developing A Quality Product

We’ve built Old State Staffing from the ground up, implementing the same cutting-edge recruiting tools used by the nation’s largest family offices. Historically inaccessible to smaller clients, these tools improve the tracking and management of talent, utilize machine learning for smarter searches, and intuitively compare compensation and qualification benchmarks both regionally and nationally. This allows us to find and match families with the best candidates quicker and more efficiently than ever before.

2. Building A Great Team

We knew from the start that our team would be our greatest differentiator. That’s because our agency is composed entirely of family office professionals who know what exceptional candidates look like; because we’ve applied to, managed, and hired for each of those positions ourselves.

3. Creating Meaningful Relationships

Building and maintaining relationships is important today, more than ever before. We place immense value on our relationships, not just with our clients, but our candidates, and the community at large. We spent our “pandemic years” building partnerships with local universities, to open the doors of private staffing to recent college graduates in the most educated metropolitan area in the world.

4. Refusing To Settle

Change is inevitable, yet private staffing has historically lagged in both hiring and employment standards. We’ve always been disruptors, first to adopt AI and machine learning—ensuring smarter, faster, more accurate matches for our clients.

We know that choosing an agency is a personal decision, and we’re honored for the time you have spent considering us as a partner in your search. If you haven’t spoken to us yet, let me be the first to say that we can’t wait to introduce you to our contacts, to guide you through the hiring process, and to introduce you to the perfect candidate. We know the stakes are high, but so are the rewards. With Old State Staffing you’ll be empowered to make informed, meaningful hiring decisions, so you can continue to thrive in a world that’s spinning faster every day.
